Evergreen Commons is looking to fill the role of an Administrative Assistant position! We are looking for a goal driven individual with the ability to work in team environment to help the company succeed!

Evergreen Commons is a 501.c3, non-profit, community benefit organization serving the older adult population in the greater Holland Michigan area. We have reimagined what it means for older adults to live independently and vibrantly in their residence of choice as long as they are able.

The Administrative Assistant to the President/CEO is responsible for providing comprehensive support to the President/CEO, Board of Directors and Leadership team. In this role the Assistant’s responsibilities include managing calendars, planning meetings, assisting with event planning, composing and preparing correspondence, and serving as the primary point of contact for members, donors and guests pertaining to the office of the President and CEO. This position requires a high level of professionalism and confidentiality, with the ability to think critically and offer appropriate solutions with accuracy, understanding and compassion, while being adaptive and flexible amidst various priorities.

Job Responsibilities

  • Conserves the President’ time by reading, researching, and routing correspondence; drafting letters and documents; collecting information and initiating telecommunications.
  • Maintains the President’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Serving as the primary point of contact, welcomes visitors, members, and donors by greeting them, in person or on the telephone, and answering or directing inquiries in a prompt and courteous manner.
  • Working in conjunction with other staff members, collects information and prepares reports/presentations as requested by the President.
  • Attends meetings with the President as requested, taking notes/minutes when needed.
  • Works closely with the President to keep them informed of upcoming commitments, and responsibilities, following up as appropriate.
  • Coordinate Leadership Team meetings and assist with staff meetings and events as needed.
  • Communicate clearly and professionally with members, guests and staff

Requirements/Qualifications

  • High School Diploma required, some post-secondary education preferred
  • Minimum of 3-5 years of prior experience in an Executive/Administrative Assistant role
  • Excellent communication skills: verbal, written, and telephone
  • Must present a professional appearance at all times
  • Maintain a high level of integrity and discretion in handling confidential information
  • Knowledge of standard computer applications including MS Word, Excel, Outlook, Power Point and donor database software
  • Outstanding organizational and time management skills
  • Ability to prioritize and manage time effectively and work with minimal guidance
  • Friendly, outgoing and enjoy working with older adults
  • Work efficiently and effectively on a team and in a collaborative team environment
