Description

The Assistant Director for Admissions Visits & Events is responsible for the coordination of on-campus visits and related communications, and student staff supervision.

Primary functions of this position include coordinating more than 1,500 individualized on-campus visits per year, developing and maintaining visit-related marketing communications, leading seasonal events, and co-supervising our student tour guide team, which includes our full-time summer student staff. This position interfaces with key partners across campus in maintaining engagement with faculty for academic appointments and coordinating large-scale events that host close to an additional 1,500+ visitors.

This role reports to the Director of Campus Experience & Engagement and will also work closely with members of the Campus Experience & Engagement Team and other members of the Admissions team.

Responsibilities

  • Coordinate individual and group visit experiences, which can involve scheduling a variety of activities including, but not limited to: a campus tour, meeting with an admissions representative, faculty member, staff member and/or an athletic coach, attending chapel, eating lunch on campus and airport shuttle coordination.
  • Oversee all visit and event-related marketing
  • Development of Slate visits and events
  • Partner with Assistant Director of Admissions Communication to maintain hope.edu/admissions/visit
  • Create, maintain, and communicate external and internal responsibilities memos for seasonal on-campus Admissions events
  • Maintain documentation of position responsibilities
  • Assist in development and evaluation of the event-planning process, from planning, to implementation, to follow-up
  • Fully utilize and understand Slate Events module from event creation through evaluation
  • Maintain/update knowledge base of Slate Events as new and existing features are introduced into Admissions events’ workflow
  • Cross-train with Senior Assistant Director and Director of Campus Experience and Engagement on event coordinator responsibilities.
  • Hire & co-supervise student tour guide team including full-time summer student staff
  • Work in partnership as an integral member of Campus Experience and Engagement team
  • Develop knowledge through research of new technologies that can help Admissions in our utilization of technology to best engage our visiting students/families

 Qualifications

  • Bachelor’s degree required.
  • Minimum of two years’ previous experience in event planning, coordination, marketing, and customer service.
  • Previous experience using Technolutions Slate preferred (if not, training will be provided).
  • Excellent communication skills with a strong attention to detail.
  • Strong analytical skills, critical thinking, and the ability to self-start/multitask.
  • Demonstrated project management skill and experience.
  • Demonstrated “collaborative partner“ customer service approach.

 Physical Demands

This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
