Reports To: Director of Events & Operations
Status: Part-time, Non-exempt
Overview: Tulip Time is a nonprofit organization dedicated to welcoming the world to our community by celebrating tulips, Dutch heritage, and Holland today. The Operations Coordinator plays a vital role in supporting the planning and execution of Tulip Time’s many events and operational initiatives. This position provides hands-on support with festival logistics, volunteer coordination, event planning, and internal communications to help ensure a smooth and successful festival experience for attendees, participants, and community partners.
Hours: Part-time, approximately 20-24 hours/week; additional hours required in the lead-up to and during the annual festival (including evenings and weekends in spring, fall and winter.)
General Responsibilities:
Assist with operational planning and on-the-ground logistics for Tulip Time events, including coordination of supplies, venues, and set-up/tear-down.
Serve as a point of contact for volunteer management, including scheduling, communication, check-in, and recognition efforts.
Support internal communication processes and preparation of materials for meetings, staff, and key stakeholders.
Help maintain and update internal operational calendars, checklists, and digital platforms to ensure event details are accurately tracked and shared.
Assist with administrative duties including data entry, permit applications, vendor follow-up, and supply ordering.
Support the execution of sponsor activations and contracted partnerships during events.
Collaborate with the Tulip Time team to coordinate signage, merchandise, and event-specific documents.
Collect and organize feedback and reports from event participants and volunteers to inform future improvements.
Help coordinate operations-related messaging for email, social media, and participant communications in collaboration with the marketing team.
Represent Tulip Time professionally in community engagement settings, both pre-festival and during the event.
Position Requirements:
Strong organizational and time-management skills with the ability to handle deadlines.
Excellent verbal and written communication skills.
High attention to detail and ability to follow through on tasks independently.
Flexibility and ability to adapt in a fast-paced event environment.
Willingness to work outdoors and perform physical tasks (e.g., lifting supplies, setting up event spaces).
Friendly demeanor when working with volunteers, vendors, and the public.
Proficiency in Microsoft Office, Google Workspace, Canva, and familiarity with basic project management or scheduling tools.
Education/Experience:
Bachelor’s degree in event management, nonprofit administration, hospitality, communications, or a related field preferred but not required.
Previous experience in event coordination, customer service, or volunteer management.
Internships and volunteer experience in relevant roles are strongly encouraged.
Physical Demands:
Must be able to lift up to 25 pounds and stand or walk for extended periods during event days.
Willing to work in various weather conditions during the outdoor festival.
